What information do we collect?

You may give us information about you by filling in a form, contacting us by phone, post or e-mail, in person or giving us a business card, we may also collect data being shared by your colleagues and/or superiors. This includes information you provide if you complete a registration form on behalf of a business and if you complete an application form or otherwise apply for a job here, either directly, or via a third party. The information you give us depends on the reason for you contacting us, but can include your name, job title, address, date of birth, e-mail address and phone number and financial information, personal identification documents, data relating to access or dietary requirements. Additional information you may give us on applying for a job or as a member of staff includes: marital status, nationality and National Insurance Number, your education and employment history, other information contained within your CV or other documents or information you submit to us; information from the selection process, if any; reference and assessment relating to your work for previous employers; medical and financial information (where you provide this to us). When using the WLs website we may collect, store and use the following kinds of personal information:

We work closely with other organisationsand we may receive information about you from them. We may also be given your contact details by our primary contact at your organisation, if they think that you would benefit from getting involved with the WL or benefit from engaging in our activities. For example, they could nominate you to sit on our various committees.The categories of information we receive from these sources may include all or some of the following; your name, address, date of birth, e-mail address and phone number and financial information, personal identification documents, data relating to access and dietary requirements. We may also collect information about you from publicly available sources, such as media reports, in order to better understand the people who we interact with. We maintain a list of registered companies and brands showing publicly available information of registered company names, addresses, phone number, websites and email addresses where applicable. Photography may be taken at industry events that are administered by the Water Label and we will inform you in advance if and when these photographs will be published on our site. If you do not wish your photograph to be taken, we suggest you inform a member of The Water Label Company Limited staff prior to/at the event.We may combine information we receive from other sources with information you give to us for the purposes set out above (depending on the types of information we receive).

We believe that we have a legitimate interest in being able to provide our services to our registeredorganisations and to represent them and the interests of businesses. Where we have entered into a contract with you. In these circumstances, we may need to process your information in order to fulfil the contract. For example, this may apply if you book to attend one of our events.

These special categories are considered particularly sensitive and so we will only collect and use this information where you have given us your explicit consent or where we consider it necessary to do so. For example, you may choose to tell us about your health condition before attending one of our events, or your political opinions as part of a campaign. Security and storage of your information
Information that we collect relating to our events may be retained (such as attendance records) where it is in our legitimate interests to do so. (e.g. Promote following year's event unless opted out to receive information on events)
We will keep personal information held as part of our registered company recordsfor the duration of that organisation'sregistration. Once the registration is terminated, we will delete the majority of records and only retain the minimum information necessary to deal with any future issues.
We will keep the data connected to your job application (including any interview records) for 6 months from the date of their creation or receipt from you. If your application is successful and you become a member of staff we will provide you with a copy of the Employees handbook, which outlines the Water Label policies.
You have the right to request from us access to your own information.
